A strong NAYC trip is built well before the bus, plane, or van leaves. Group leaders need a plan for registration, hotels, adult coverage, parent communication, travel, rooms, finances, emergency procedures, and follow-up after the event. Use official NAYC requirements and your church’s safeguarding policies as the foundation.

Build the leadership structure first

Name the adults responsible for registration, hotels, money, transportation, communication, spiritual care, and emergencies. One person does not need to do every task, but every task needs a clear owner and a way to escalate concerns.

Create a planning timeline before official registration opens. Include internal interest and payment conversations, parent meetings, participant expectations, rooming process, travel arrangements, document collection through approved methods, and a final readiness review.

Give families one clear source of truth

Use a single approved communication channel for confirmed details. When plans change, update that source first and then communicate the change clearly. Avoid making families piece together critical instructions from multiple group chats.

Prepare a short participant guide with dates, contacts, expectations, packing reminders, travel plan, meeting points, payment information, and what to do if a student needs help. Review it with both parents and students.
